All work completed by GMA including but not limited to: research, writing, grant reviews, guideline analysis, proposal editing, phone calls, e-mails, and client meetings and travel costs are billable monthly.*
General Contracting Service Agreements
Funding Research Only: This level of service is for organizations that want to write and submit their own grants, but do not know how to find the appropriate opportunities. GMA will determine what activities that you are engaged in that may be fundable. From this list we will align your activities with appropriate funding agencies – approx. $500 - 3200.
Grant Submissions: This level of service is typically for organizations that need assistance with a specific grant submission. GMA will help drive the grant writing process, determine what materials are needed, help your organization to develop compelling submissions that are responsive to the funders goals and objectives, assist in maximizing the points associated with the review criteria and help in preparing all aspects of the proposal and submission – approx., $5,000 - 8,500 for state grants and $7,500 - $15,000 for federal grants. Costs for Foundation and Corporate applications vary. Each application is bid to your specific needs, the level of effort that would be needed from GMA and the level of effort to which your organization is able to commit.
Grant Review: This level of service is for organizations that have in-house grant development specialists. GMA will review existing applications to provide feedback on areas that are weak in the submission. GMA can also provide feedback on applications that will be submitted to ensure that your submissions maximize compliance with the review criteria and follow all guidelines. $350 - 750 per review.
Editing/Technical Assistance: Complete editing of client prepared proposals, as well as technical assistance, is available on an hourly basis. There is a six hour minimum usually payable in advance.
Program Evaluation: This type of service is dependent on the specific needs of the program being evaluated. GMA develops survey tools, conducts surveys, completes data entry, preforms data analysis and produces a full report. Each contract is developed separately. Most of the consultants engaged in these activities are PhD level associates. Hourly rates are reflective of their level of involvement and the required expertise.
Project Management: Project management activities and costs are determined on a case-by-case basis. They general involve, fiscal and programmatic reporting, interface with the funding agency, development of reporting tools, schedule management, matching fund tracking, the development of invoicing procedures, agency compliance and the coordination and submittal of final project reports. GMA also tracks all expenditures and managing the budget process for the client and subcontractors. Hourly rates for various activities are reflective of the required expertise.
Grant Management and Accounting Services: Grant management services typically include; invoicing, backup documentation and compliance review, budget reconciliation, match funds allocation and quarterly and final reports. GMA can meet with the funding organization. The costs associated with these services vary, please call for a price quote.
Associated Activities: Feasibility Studies, Market Reports, and other Technical Writing efforts. Pricing will reflect the amount of effort and level of expertise required. Please call to let us know how we can help you.
Additional Invoicing Information and Contracting Options
Expenses: Expenses for all types of assignments are billed at cost, plus 15%, and include such items as overnight delivery service, copying and production of submission documents. While Grant Management Associates usually works electronically, if a client prefers an on-site scoping meeting or needs Grant Management Associates to attend a meeting on their behalf, travel time and estimated expenses will be billed in advance.
Retainer: This level of service allows the organization to have open access to the grant writers for funding identification specific to the sectors of your interest, multiple submissions at a discounted hourly rate, reviews of past submissions, introductions to key government agency, foundation or corporate staff.
Flat Fee Contracts: For flat fee contract with a fee of $2,500 or less, full payment in advance is required. For flat fee assignments with a fee greater than $2,500, sometimes a 50% deposit is required to start work, with the other half due prior to release of the final work product. These contracts are billed at our standard hourly billing rate.
Not-to-Exceed Agreements: In this approach, a mutually agreed upon not-to-exceed amount is set for a specific assignment or to provide ongoing assistance. There is a $7,500 minimum. A 50% deposit is required and hours used are tracked at our hourly rate, discounted by 10 - 25%. The balance of the not-to-exceed amount is billed when the initial deposit is 75% used.
* GMA invoices clients on the 5th of the month. A late payment fee of 10 percent will be assessed on any account past due 30 days.

GMA adheres to the PROFESSIONAL STANDARDS as outlined by this association.
1. Members shall not accept compensation that is based on a percentage of contributions or contingent upon award of a grant.
2. Members may accept from employers performance-based compensation, such as bonuses, provided they are in accord with prevailing practices within the organization, and are not based on a percentage of contributions.
3. Members shall not pay finder's fees to obtain donors and shall take care to discourage their organizations from making such payment(s).
4. Members shall, when stating fundraising results, use accurate and consistent accounting methods that conform to the appropriate guidelines adopted by the American Institute of Certified Public Accountants (AICPA) for the type of organization involved.
